About Us
University of Kelaniya Administration
The University of Kelaniya’s administration is dedicated to fostering a supportive, efficient, and welcoming environment for learning and discovery. Our administrative team works hand-in-hand with academic leaders to ensure that students and staff have the resources, services, and guidance they need to excel. We pride ourselves on a service-oriented approach – we are here to help you and to encourage collaboration both within the university and with our external partners.
Key Leadership Roles
Vice-Chancellor: The Vice-Chancellor is the chief executive and academic leader of the University of Kelaniya. As the head of the institution, the Vice-Chancellor provides strategic direction, oversees daily operations, and upholds the university’s standards of excellence. Under the Vice-Chancellor’s guidance, the university’s vision and mission are translated into action, ensuring that academic programs and research initiatives thrive.
Deans of Faculties: Each faculty at UOK is led by a Dean, who is responsible for the academic leadership and administration of their respective faculty (such as Humanities, Science, Medicine, Commerce & Management, Computing & Technology, etc.). Deans work closely with department heads and faculty staff to maintain high academic standards, develop curricula, and support research. They also serve as a bridge between their faculties and the central administration, ensuring that the needs of students and academic staff are met in line with the university’s policies.
Registrar: The Registrar is the chief administrative officer of the university. This office handles the overall administration and coordination of daily non-academic operations. The Registrar’s responsibilities include student admissions and registration, custody of student records, organizing examinations, and keeping official records for the University Council and Senate. By managing these critical processes and overseeing administrative divisions, the Registrar’s office ensures that the university runs smoothly and efficiently for both students and staff.
Bursar (Chief Financial Officer): The Bursar oversees the financial management of the university. This includes budgeting, accounting, procurement, and ensuring that resources are allocated to support the academic mission. By maintaining sound financial practices and transparency, the Bursar’s office makes certain that funding is in place for academic programs, scholarships, research projects, and campus facilities. This financial stewardship helps provide students and staff with the tools and infrastructure they need, from well-equipped classrooms and laboratories to comfortable study spaces.
Librarian: The University Librarian leads the library and information services, playing a key role in supporting teaching and research. The library provides access to a vast range of knowledge resources – books, journals, databases, and digital archives – essential for student learning and faculty research. The Librarian and library staff work closely with academic departments to ensure resources are up-to-date and relevant. They also guide students and researchers in finding information, thereby enriching the academic experience and promoting a culture of inquiry.
These key leaders, along with other heads of administrative divisions and units, form a collaborative leadership team. Together, they steer the university in alignment with its strategic goals while always prioritizing the needs of the campus community.
Administrative Structure and Support Functions
Our administrative structure is organized to comprehensively support the academic mission of the University of Kelaniya. Under the Vice-Chancellor’s leadership, various administrative offices and divisions coordinate the day-to-day operations that keep the university running effectively. This structured approach allows faculty and students to focus on teaching, learning, and research while the administrative team handles operational details.
Major components of the administrative structure include divisions for Academic Affairs, Student Affairs, Finance, Human Resources, and Facilities Management, among others. These divisions take care of a diverse range of functions:
Academic Affairs & Examinations: Managing course registration, examinations, academic records, and support for curriculum implementation. This ensures that from enrollment to graduation, each student’s academic journey is well-coordinated and documented.
Student Affairs & Welfare: Focusing on student life outside the classroom, this includes accommodation services, health and medical services, counseling, student clubs, and welfare programs. Our Student Welfare Division and Medical Center are part of this effort to make campus life safe, healthy, and enriching. Whether it’s organizing student orientation, providing career guidance, or ensuring student health services are available, these offices work to enhance the student experience.
Human Resources and Staff Development: Overseeing recruitment, training, and welfare of university staff (both academic and non-academic). By supporting our staff with professional development programs, clear HR policies, and a positive work environment, the administration helps faculty and employees perform at their best. This directly contributes to a high-quality education for students.
Finance & Procurement: Handled by the Bursar’s division, this covers budgeting, financial planning, accounting, and procurement of goods and services. Effective financial management ensures that the university’s funds are used responsibly to maintain facilities, fund research and scholarships, and improve campus infrastructure. From paying staff on time to purchasing library books and lab equipment, the Finance team’s work underpins all academic activities.
Facilities & Operations: This includes campus maintenance (buildings and grounds), security, and logistical support. The Works Division keeps classrooms, laboratories, and common areas in good condition, while the Security Division maintains a safe campus environment. There’s also a Landscape Division keeping the university grounds green and welcoming. A well-maintained campus creates a pleasant atmosphere for study and collaboration.
Information Technology and Library Services: Our IT services (such as the IT Center) and the Library (led by the Librarian) ensure that students and staff have access to modern technology, e-learning platforms, and comprehensive information resources. These services are crucial for supporting innovative teaching methods and world-class research.
All these administrative units work in synergy. Communication and coordination are key: regular meetings, planning sessions, and feedback mechanisms help align the work of administrative staff with the needs of the academic community. By having a clear structure where each division knows its role and cooperates with others, the University of Kelaniya’s administration provides a solid backbone for the institution. This means professors can teach, researchers can innovate, and students can learn – all in a well-supported environment that anticipates and addresses needs promptly.
Services for Students, Staff, and External Stakeholders
Our administrative team is service-oriented at its core. We strive to provide prompt, helpful services to our students, faculty and staff, as well as to alumni, parents, industry partners, and the wider community. Here’s an overview of how we support our key stakeholders:
For Students: From the moment you consider joining the University of Kelaniya, our administration is here to assist you every step of the way. The Admissions office guides prospective students through applications and enrollment, ensuring a smooth start to your academic journey. Once on campus, the administration helps with registering for courses, scheduling exams, issuing student ID cards, and maintaining transcripts. We also provide scholarship administration and financial aid guidance for those who need support. Beyond academics, student services include healthcare at the campus medical center, counseling and mental health support, and assistance with housing and accommodation. Student welfare is a top priority – our goal is to create a nurturing environment so you can focus on learning and personal growth. If you have a concern or need help, whether it’s getting a certificate, resolving a timetabling issue, or organizing a student event, the administrative offices are ready to help. Your success and well-being are our mission.
For Faculty and Staff: The University recognizes that supporting its employees is crucial to achieving academic excellence. Our administration provides comprehensive human resource services for faculty and staff. This includes recruitment and onboarding of new employees, clear HR policies, payroll and benefits administration, and opportunities for professional development through workshops and training programs. We handle the logistics so that lecturers and researchers have what they need – whether it’s well-equipped classrooms, research grants management, or administrative assistance for conferences and seminars. The administration also ensures a collegial work environment through staff welfare initiatives and by addressing any workplace concerns promptly and fairly. For academic staff, services like the Research and Publication Division assist with research proposal processing, funding, and publication support, reflecting our commitment to furthering scholarship. We value our staff highly, and we are here to support their teaching, research, and service roles in the university. If you are a member of the UoK team, consider the administration as your partner in facilitating your work and career development.
For External Stakeholders: The University of Kelaniya is not an island – we actively engage with the broader community, industry, government, and international partners. Our administration plays a key role in these external relations. We manage partnerships with other educational institutions and facilitate memorandums of understanding (MOUs) for academic and research collaboration. If you are from industry or the public sector looking to collaborate on research, student internships, or knowledge exchange, our administrative offices will connect you with the right faculty or program. We also offer services to the public, such as organizing extension courses and workshops through our Center for Distance and Continuing Education and other outreach units. Alumni are important external stakeholders too – we maintain an alumni office to keep our graduates engaged and informed, because their success reflects on the university and they often become partners in offering placements or mentorship to current students. Additionally, for any general inquiries from parents, prospective students abroad, or community members, our administration provides clear information and guidance. We aim to be transparent and responsive: whether it’s a request for a campus tour, information about donating to the university, or a media inquiry through our public relations officer, we handle each interaction with professionalism and warmth. UOK is part of a larger community, and we welcome you to work with us for mutual growth and benefit.
